Position Overview:

This position is responsible for maintaining configuration and revision control of comprehensive product documentation and ERP system data.

Essential Duties and Responsibilities:

This position must work to achieve advanced-level proficiency in at least one of the four areas noted below. (Primary role determined by management.)

Release Engineering Drawings/BOM

  • Process Change Orders (COs) to release product drawings and associated parts through Engineering.

  • Load, update and verify product structures/bill of material in IFS (ERP).

  • Create, maintain and release engineering part numbers; edit descriptions or obsolete PNs when instructed via Change Request (CR).

  • Enter approvals, create PDFs and maintain release status of SolidWorks and AutoCAD drawings; set proper document access privileges.

  • Establish reference number identifiers and create drawing registers.

  • Monitor and maintain IFS approval window and Outlook mailbox TOG_EngPartRelease.

Transfer Part Numbers to Manufacturing

  • Verify that related build procedures, test documents, design reviews, etc. are released and attached prior to part number transfer.

  • Verify that IFS bill of material matches CAD drawing parts list.

  • Update item master fields (codes, types) for inventory parts; differentiate between “Make/Buy” requirements.

  • Maintain and attach product routers to parts and release to “Buildable (Full)” or “Plannable (Partial)” in Manufacturing.

  • Maintain part transfer tracking spreadsheet in Microsoft Excel.

  • Monitor and maintain Engineering Revision Transfer Actions window.

Release Procedures/Text Documents

  • Process Change Requests (CRs) to release procedures and other text documents in IFS (ERP).

  • Create Change Order (CO) and attach approval router.

  • Pull document numbers and format procedures to current standards in Microsoft Word.

  • Obsolete documents per CR or CO instructions; set proper document access privileges.

  • Update “Where Used” in IFS when documents are consolidated, updated or obsoleted; verify that all attached reference documents are released.

  • Monitor and maintain IFS approval window and personal Outlook email.

Transmit Documents to Customer

  • Utilize Microsoft Word template as Transmittal cover sheet for correspondence.

  • Create PDFs, add necessary stamps, and transmit documents to customers as directed by Project Managers; verify revision levels and other information prior to sending.

  • Demonstrate professionalism at all times in interactions with external customers.

  • Maintain log in Transmittal SharePoint site of delivery and receipt of approval drawings and associated project documents.

  • Maintain network folders, organized by customer name, project name and transmittal number.

  • Monitor and maintain Outlook mailbox ODIDocControlTransmittals.

Supplemental Responsibilities:

  • Support continuous improvement projects within the department and participate in overall business improvement programs as needed.

  • Mentor technicians in adhering to internal procedures to ensure continuous improvement within the department.

Education and Experience:

  • A.S. degree in related field preferred; high school diploma or GED required.

  • 2-4 years work experience in a Document Control environment; exposure to Mechanical Engineering drawings and assembly/test procedures a plus.

Job Knowledge, Skills and Abilities:

  • Excellent organizational skills and ongoing attention to detail.

  • Excellent verbal and written communication skills.

  • Advanced skills in Microsoft Office programs (Outlook, Word, Excel, etc).

  • Ability to maintain confidentiality of work-related information and material.

  • Ability to adapt and manage change in a dynamic environment.
